This policy explains what personal information Moxie Fitness (“we”, “us”) collects when you use moxiefitness.co or apply for coaching, how we use it, who we share it with, and the rights you have over it. If you have any questions, email us at [email protected].
Information we collect
We only collect what we need to review your application and deliver coaching:
- Information you give us — your name, email address, phone number (if you provide it), and the answers you submit in our application and intake forms, such as your fitness goals, training availability, and, if you become a client, relevant health and lifestyle details you choose to share.
- Payment information — when you pay for coaching, your card details are entered directly into our payment provider’s secure checkout. We never see or store your full card number.
- Information collected automatically — basic technical and referral data (such as the page or campaign that brought you to us) to understand how people find and use the site.
How we use your information
- To review your application and decide whether we’re the right fit.
- To contact you about your application and, if you become a client, to deliver your coaching programme and support.
- To send you emails you’ve asked for or that relate to your coaching. You can unsubscribe from marketing emails at any time.
- To take payment for coaching services.
- To operate, maintain, and improve the website.
Who we share it with
We do not sell your personal information. We share it only with the trusted service providers that help us run the business, and only so they can perform their service for us:
- Forms — to collect your application and intake responses.
- Customer records — to store your details securely so we can manage your coaching.
- Email — to send you the emails described above.
- Payments — to process your payment securely.
- Scheduling & coaching tools — to book calls and deliver your programme.
Each of these providers is bound to handle your data securely and only on our instructions. We may also disclose information if required by law.
How long we keep it
We keep your information only for as long as we need it — to respond to your application, provide your coaching, and meet our legal and accounting obligations. When it’s no longer needed, we delete it.
- Progress photos — if you choose to share progress photos as part of your coaching, we store them securely and delete them no later than 12 months after your coaching programme ends (whether you complete the programme, pause it, or stop working with us). You can ask us to delete them sooner at any time.
- Applications we don’t accept — if your application isn’t accepted, or you don’t go on to become a client, we keep your application details for up to 12 months in case you re-apply, then delete them.
- Client and payment records — we keep records needed for accounting and tax purposes for as long as the law requires, even after your coaching ends.
Your rights
You have the right to:
- Ask for a copy of the personal information we hold about you.
- Ask us to correct anything that’s inaccurate.
- Ask us to delete your information.
- Withdraw your consent to marketing emails at any time.
To exercise any of these, email [email protected]. If you believe we’ve mishandled your data, you can also complain to your local data protection authority (for example, the ICO in the UK).
Security
We take reasonable steps to protect your information and work only with reputable providers who do the same. No method of transmission over the internet is completely secure, but we take your privacy seriously and act quickly if anything goes wrong.
Changes to this policy
We may update this policy from time to time. When we do, we’ll change the “last updated” date at the top of this page.
